Jobonic User Guide

Website Version 1.0 — Draft

Overview

Jobonic is an AI-powered job matching platform that connects freelancers with clients for short-term engagements.

The platform enables users to either:

  • Offer skills as a freelancer
  • Request services as a client

A single user may operate as both a client and a freelancer through separate role profiles within the same account.

Jobonic facilitates secure contracting and payment handling to ensure a seamless engagement process for both parties.

Apply Points

What are Apply Points?

Apply Points are used to submit applications for jobs on Jobonic. Each job application requires a certain number of points, depending on the job.

How Apply Points Work

  • Each time you apply for a job, Apply Points will be deducted from your balance.
  • The number of points required may vary based on the job.
  • Your membership plan provides a set number of Apply Points each month.

Validity of Apply Points

Unused Apply Points carry over and can be used until they expire.

How to Top Up Apply Points

If you run low on Apply Points, you can purchase additional points at any time. You can top up in two ways:

Option 1: Via Pricing Page

  1. Go to the Pricing page
  2. Select the Top Up tab
  3. Choose a package and proceed with payment

Option 2: Via User Menu

  1. Click on your User Icon
  2. From the dropdown menu, locate Apply Points
  3. Click the "+" (plus) button
  4. You will be redirected to the Top Up page to complete your purchase

Important Notes

  • Users can only top up Apply Points based on their current membership plan
  • Top-ups do not require you to change your membership plan
  • Purchased Apply Points follow the same expiration policy

1. Accessing the Platform

When you enter the Jobonic website, you will land on the homepage.

At the top section of the homepage, there is a switch-style selection option:

  • Find Work – for freelancers offering services
  • Find Talent – for employers seeking services

To engage freelancers, select "Find Talent."

2. Creating an Account

Scroll down the homepage and click "Get Started for Free." You will be directed to the account creation page.

  1. Enter the required registration details.
  2. Submit the registration form.
  3. Verify your email address.
  4. Log in using your newly created credentials.

3. Signing In

To access your Jobonic account after registration:

  1. Enter your Email address.
  2. Enter your Password.
  3. Click the Sign In button to access your account.

If you have forgotten your password:

  1. Click "Forgot password?"
  2. Enter your Email address then click "Send Verification Code".
  3. Enter the verification code and then reset the password.
  4. After resetting the password, the page reloads back to the Sign In page and enter your credentials to access your account.

4. Logging Out

  1. To log out, click on the user icon on the right side of the website.
  2. From the dropdown menu, click "Log Out".
  3. The user will be taken back to the Sign In page.

5. Selecting Your Role

Once logged in, you will be taken to the "Profile" page. You may operate as:

  • A Client (Find Talent for Available Services)
  • A Freelancer (Find Work for Service Needs)
  • Or both

Create a profile based on your preference. Users who choose both roles can maintain separate role profiles within the same account.

5.1. Create a Freelancer Profile

  1. To create a Freelancer profile, insert your profession/specialization in the Profile Title area then select the city for location.
  2. Inserting a description is optional and can be edited later.

5.2. Create an Employer Profile

  1. Enter your company name and phone number.
  2. Inserting a description is optional and can be edited later.

7. Managing Jobs Listings

7.1. Posting a Job

To post a job requirement:

  1. Enter the Job Title (mandatory).
  2. Select the Job Type.

    There are four job types:

    • One-Time, One Freelancer: Once a freelancer is hired, the job is automatically marked as Closed, and all other chatrooms will be closed.
    • One-Time, Multiple Freelancers: For jobs requiring multiple freelancers at once. The job remains Open until manually closed, and multiple chatrooms stay active.
    • Recurring, One Freelancer: For ongoing work where freelancers may change over time. The job remains Open, and multiple chatrooms stay active.
    • Recurring, Multiple Freelancers: For long-term or flexible projects with multiple freelancers. The job remains Open, and multiple chatrooms stay active.
  3. Complete the Job Description field.
  4. Select preferred Visibility for the job – Public, Private or Invite Only.
  5. In the Budget and Rate section based on your preference, choose either: Total Budget ($) or Max Rate ($/hr)
  6. Select the Start Date.
  7. Select the Deadline.
  8. Complete any additional optional fields based on your preferences.
  9. Submit the job posting once all required information has been completed.

Providing clear and detailed information improves matching accuracy and helps freelancers better understand your requirements.

7.2. Editing Jobs

To edit an existing job posting:

  1. Navigate to your posted jobs.
  2. Locate the job you wish to edit.
  3. Click the "…" (three-dot menu) located at the top right corner of the job listing.
  4. Select "Edit."
  5. Make the necessary changes.
  6. Click "Save" to update the job posting.

Changes will be made after saving.

7.3. Changing the Status of a Job

If you wish to change the status of the job posting:

  1. Navigate to your Job listing.
  2. Click the "…" (three-dot menu).
  3. Select "Edit."
  4. Locate the Status setting.
  5. In the dropdown menu, select "Open" or "Closed".
  6. Click "Save" to apply the changes.

Changes will be made after saving.

7.4. Deleting a Job Posting

To permanently delete a job posting:

  1. Navigate to your Job listing.
  2. Locate the job you wish to remove.
  3. Click the "…" (three-dot menu) at the top right corner of the listing.
  4. Select "Delete."
  5. Confirm the action when prompted.
  6. A job cannot be deleted once there are applications, if the project is ongoing or once someone has been hired.

Once deleted, the job posting cannot be recovered.

7.4.1. Limit Job Visibility

If you wish to retain the job posting but limit its visibility:

  1. Navigate to your Job listing.
  2. Click the "…" (three-dot menu).
  3. Select "Edit."
  4. Locate the Visibility setting.
  5. In the dropdown menu, select "Private."
  6. Click "Save" to apply the changes.

Setting a job to Private allows you to keep the job details without making the listing publicly visible.

8. Managing Services Listings

8.1. Posting a Service

Before creating a service as a Freelancer, you must add at least one skill under "Freelancer Profile." If no skill is added, you can add a new skill while creating a service.

To create a new service:

  1. Navigate to the "My Services" tab.
  2. Click "New Service."
  3. Complete the required fields, including: Service Title, Pricing, Relevant Skills (select from the skills added to your Freelancer Profile)
  4. Submit the service once all required information has been completed.

Ensure that the selected skills accurately reflect the service being offered to improve matching accuracy.

8.2. Editing Services

To edit an existing service:

  1. Navigate to My Services.
  2. Locate the service you wish to edit.
  3. Click the "…" (three-dot menu) located at the top right corner of the service listing.
  4. Select "Edit."
  5. Make the necessary changes.
  6. Click "Save" to update the service.

Changes will be made after saving.

8.3. Changing the Status of a Service

If you wish to change the status of a service posting:

  1. Navigate to your Service listing.
  2. In the dropdown menu, select "Open" or "Closed".
  3. Click "Save" to apply the changes.

8.3. Deleting a Service

To manage a service listing:

  1. Navigate to My Services.
  2. Select the service you wish to manage.
  3. Click the "…" (three-dot menu).
  4. Choose Delete to permanently remove the service.
  5. The service cannot be deleted once it's been used to apply for jobs or if a client made an offer to it. To limit visibility, it would be more suitable to change the service visibility to Closed.

Once deleted, a listing cannot be recovered.

9. Managing Payment Methods

To add or manage your payment method:

  1. Navigate to the "Payment Methods" tab.
  2. Click "Add Payment Method."
  3. Select your preferred payment method from the available options: Card, Payni, Bank Transfer
  4. Complete the required fields for the selected payment method.
  5. Save the payment details.

Payment Method Verification

At the time of adding a payment method, verification is not required. Verification will only be required when:

  • Freelancers submit a withdrawal request
  • Employers/Clients make a payment deposit before the freelancer submits milestones

Users will be prompted to complete verification when initiating these actions.

10. Searching for Talent (for Employers)

To browse available freelancers:

  1. Navigate to "Find Talent" located in the header of the homepage.
  2. View the list of available services offered by freelancers.
  3. Use the search bar to enter relevant keywords to find specific skills or services.
  4. Click "Details" on a service listing to view full information about the service, including description, pricing, and skills.
  5. If you would like to save a service for future reference, click the heart icon to add the service to your Favourites list. To remove the service from your Favourites, simply click the icon again to unfavourite it.

10.1. Contacting the Freelancer

To initiate communication with a freelancer:

  1. Select the service you wish to engage in.
  2. Click "Engage in Chat" to send a message.
  3. Choose one of your existing Job postings (Public, Invite Only or Private) to associate with the message.
  4. If you do not have any job postings, you must create at least one job before sending a message.
  5. After selecting the relevant job, send your message and proceed accordingly with communication.

11. Searching for Jobs (for Talents)

To browse available job opportunities:

  1. Navigate to "Find Work" located in the header of the homepage.
  2. View the list of available jobs posted by employers.
  3. Use the search bar to enter relevant keywords to find specific job types.
  4. Click "See Details" on a job posting to view the full job information, including the job description, start date, deadline, and compensation.
  5. Click "Apply" to begin your application process. You will be prompted to select one of your existing services when applying. If you have not yet created a service, you will need to create one before proceeding.
  6. You will need to write a proposal in order to proceed with the application. If you have previously created a proposal, it will appear as the default template, and you may edit it to better suit the job's requirements.
  7. You will also need to provide a profile summary, which is separate from your proposal. If a profile summary already exists, you may edit it as needed before submitting.
  8. Once all details are completed, click "Apply" to submit your application. Based on the price of the job, apply points will be deducted.

11.1. Contacting the Employer

To start communicating regarding a job:

  1. Select the job you are interested in.
  2. Once the job application process is completed, your proposal and profile summary will be sent to the chat between you and the employer. You will then be automatically redirected to the chat.
  3. Send your message and continue communication through the chat to discuss further details.

12. Chat

  • The user who initiates the chat will not see the Accept/Decline buttons.
  • If the freelancer initiates the chat, the employer will have the option to Accept or Decline the job.
  • If the employer initiates the chat, the freelancer will have the option to Accept or Decline the job.
  • Once the job is Declined, both the employer and the freelancer will no longer be able to continue the conversation.

The Accept/Decline option applies to the job, not the chat itself.

13. Project

13.1. Hiring Process

There are two ways a project can start:

  • Client sends an offer → Freelancer must accept the offer
  • Freelancer applies to a job → Client must accept and hire the freelancer

13.2. Milestone Creation

  • Once the freelancer is hired, a milestone is automatically created based on the job.
  • The milestone can be edited: Title, Payment amount, Deadline

13.3. Payment (Deposit Required)

  • The client must make a payment (deposit) before work can begin.
  • The freelancer cannot submit or mark work as complete until payment is made.
  • This applies to all milestones.

13.4. Project Completion & Reviews

  • Once all milestones have been completed, a "Complete this Project" button will appear in the sidebar of the chat.
  • Only the client can click this button to mark the project as completed.
  • After the project is marked as complete, both the client and the freelancer will be able to leave a review for each other.

13.5. Project Settlement (Termination)

If the project is ended before completion, a settlement is required.

Initiate Settlement

  • Either the client or freelancer can request settlement.
  • The person who initiates must propose how the remaining amount is split.

Allocate Remaining Amount

  • The total remaining amount must be fully allocated.
  • The split must follow this rule: Freelancer Amount + Client Amount = Total Remaining Amount

Example:

  • 20 THB
  • 20 THB
  • 0 THB

Review by Other Party

  • The other party will receive a notification.
  • They can review the proposed split and then accept or decline the request.

Important Notes

  • All unfinished milestones must be included in the settlement.
  • The total allocated across milestones must equal the remaining amount.
  • Settlement is only completed once the other party accepts the request.
